Internal operations system

Dankas Club keeps our vehicle insurance work in one secure place.

Dankas Club is the system our staff use every day to buy and renew vehicle insurance, track premiums, and handle claims with insurers and repairers. It is not a public service: accounts are created for Dankas Club staff by an administrator.

What the system does

  • Vehicles and policies

    Every vehicle we insure, its policies, premiums and renewal dates, in one register.

  • Claims

    Each claim from first report to outcome: both parties, photos, accident drawings, tasks and key dates.

  • Payment cards

    Cards used to pay premiums, tracked by reference and shown masked. Full numbers are encrypted; security codes are never stored.

  • Mobile numbers and identity

    Contact numbers and identity documents, checked so the same details are never reused by mistake.

  • Work email

    Staff can connect their own work mailbox to read, search and reply to insurer and customer email beside the records it relates to.

  • WhatsApp backups

    Work chats with customers and repairers kept as a record, by export or a read-only linked device.

Why we ask for access to Gmail

Insurers, repairers and customers write to us by email, so staff need their work mail beside the policy or claim it is about. When a staff member chooses to connect a Gmail account, Dankas Club asks Google for permission to:

  • read and organise their email, so their messages and attachments appear in the system and stay marked read or starred as they are in Gmail;
  • send email on their behalf, so replies and forwards they write in the system go out from their own address;
  • see their email address, to know which mailbox was connected.

Connected mail is visible only to the person who connected it, unless they choose to share a team mailbox with colleagues as a public inbox. It is never sold, used for advertising, or used to train AI models, and connecting is always optional. Disconnecting deletes our copy. Our privacy policy sets out exactly how Google user data is handled, in line with the Google API Services User Data Policy, including the Limited Use requirements.

How we keep it safe

  • An authenticator code at every sign-in
  • Card numbers and mailbox access encrypted, keys kept outside the database
  • Each person sees only the parts their role allows
  • Every change recorded in an audit log
  • Identity details shown only after a fresh code
  • Data hosted in Sydney, Australia
